School information is treated with care.
This policy explains what information E School may receive, why we use it and what choices schools and their users have. Because school records often concern children, we expect schools and authorized users to apply appropriate care when sharing and managing them.
01. Who this policy covers
This policy applies to visitors of the E School website, prospective school customers and schools using our hosted or managed school software, including authorized principals, teachers, students, parents and guardians. Each school determines which school records it collects and who may use them, while E School processes information to set up and support the service under the agreed arrangement.
02. Information we may handle
Depending on the school’s configuration, records can include school name and contact information, staff and teacher details, student identifiers and profiles, parent/guardian contact details, classes, subjects, enrollment, timetables, attendance, homework instructions, grades, offline examination results, fee records and school communications. Technical usage information may include account logins, device and browser information and service or security logs needed to operate or troubleshoot the platform.
For sales enquiries, we may receive the school name, the sender’s name, their contact details and the message they choose to send. The public website’s current enquiry form prepares a message to send via an email application or copy manually; it does not independently submit that information to an E School server.
03. Why information is used
We use information to configure school accounts, maintain academic and administrative records, enable the roles and screens purchased by the school, send authorized service communications when configured, troubleshoot issues, secure accounts, support requests, manage billing and meet applicable legal obligations.
We do not sell student or school records to advertisers and do not use children's records for behavioral advertising.
04. Access and permissions
Account access depends on each user’s authorized role. Schools should control which principal, teacher and family members are permitted to view or change a record, review their accounts and revoke access when people leave. E School support access should be limited to tasks needed for setup, maintenance or assistance.
05. Hosting and service providers
Operating the platform may involve selected hosting providers, databases, email delivery services or mobile push notification infrastructure. The particular providers, hosting locations and access arrangements for each school should be identified in the school's service agreement or deployment documentation. We do not claim that information stays in a particular country unless that has been confirmed for your instance.
06. Retention, export and deletion
We keep records while they are reasonably needed to provide the agreed service and as required for legitimate billing, security and legal obligations. On closure or migration, authorized school representatives may request an appropriate data export and deletion plan. Exact retention periods, backup retention and any recovery-window limitations should be agreed and documented for the school's deployment.
07. Requests about student and family data
Students and parents should normally contact their school first to correct academic details, request access to records or raise a concern about information entered by the school. Schools can contact E School through our contact page for support with authorized data requests, corrections, exports or deletion, subject to technical, contractual and legal constraints.
08. Cookies and website enquiries
In this static showcase, interactive demo actions use fictional school records and do not access a live school's database. We do not intentionally use advertising cookies in this supplied website. A hosting provider may create routine server logs, and any analytics, external forms or integrations introduced later should be disclosed here before launch.
09. Security, incidents and changes
We work to reduce the risk of unauthorized access, misuse, loss or disclosure using appropriate safeguards for the deployment. No digital system can be guaranteed 100% secure. If a suspected incident materially involves a school's records, we aim to investigate promptly, contain the issue where possible and coordinate relevant notifications and corrective steps under our agreement and applicable law. See our Data Security Policy for responsibilities and safeguards.
We may update this policy when our practices change. For privacy concerns, use the contact page or the contact details included with your school's agreement.
